How the arithmetic works
Weekly appointments equal the number of reps multiplied by weekly appointments per rep. Available minutes equal manager hours multiplied by 60. Minutes per session equal review minutes plus coaching minutes.
The calculator divides available minutes by minutes per session and rounds down to complete sessions. Covered appointments cannot exceed the appointment load. Coverage is covered appointments divided by total appointments; when there are no appointments, coverage is not applicable.
Hours to review every appointment equal total appointments multiplied by minutes per session, divided by 60. These formulas apply the same session length to each appointment and treat manager time as one pool.
Compare two plans using your own timings
An HVAC manager can estimate a shorter review focused on one question, then compare it with a fuller review and debrief. Keep the appointment load the same while changing the time assumptions so you can see what drives the difference.
Use observed timings when you have them. A shorter assumption is a planning choice, not evidence that Cash or any other tool can deliver the same coaching in less time.
Use the result to decide what to review
If the plan covers fewer appointments than the team runs, decide which conversations deserve review and whether more manager time is available. Consider the skill being coached and the appointment context when choosing the sample.
Reviewing every appointment is not the only possible goal. The calculator does not measure coaching quality, customer satisfaction or whether a change in behavior caused a sale.
